Creating Agent Onboarding Processes with Shaker

One of the great things about Shaker is that not only do we manage the real estate transaction process, we can also create internal projects like New Agent Onboarding.

In the video below we show you how to create custom fields and groups that enable you to create an agent onboarding view within your Shaker account. We also show you how you can create automated emails and tasks to ensure that you are creating a great onboarding experience for your new Real Estate Agents.

Today we're going to walk through how you create an internal workflow, think about this for things like agent onboarding, marketing activities, et cetera.

One of the things that most people don't know is that we can add multiple deal types. Typically you have your buying, you're selling deal types but we can also add new construction, things like that, but today we're going to focus on an onboarding workflow.

We've created an onboarding project, essentially, and we've got all of our stages for the onboarding process for a new agent.

In the settings area, We're going to go in and we're going to create some fields. So, here we can look at all the different deal types.

We're going to go to onboarding and then we're going to go to, all groups. Here we can see all of our fields for the agent onboarding process.

Right now we've got the address, we've got the start date, we've got MLS training, training agent, license number, and we can add a number of different things.

Let's add a new field. And, in this field, for training information, we are going to do brokerage.

Training number 1.  We are going to create a date field for that and we'll include a time. 

We're going to go into our advanced field and then we're going to just put that into our agent onboarding workflow. We're then going to add that to the training information group. 

Now we're going to go back to our deal board and we're going to go into this pre-boarding with Phil. We are going to see that we've got the information for our agent here. We've got the personal information, information for their start date, their license number, their license expiration and then you can see the training information. We've got the brokerage training field that we added right here.

Now we've got this kind of set up we want to create some activities around the agent onboarding process

We're going to go back to our deal stages. We've already selected our onboarding deal type. In our onboarding process we've got this pre-boarding stage.

Let's say we want to send an agent a welcome to the company email. So we're going to choose our welcome to the company template.  It’s going to come from the broker. Now two days before the start date at 9 am we're going to send this email to the agent welcoming them to our brokerage. 

I've already created some tasks for this pre-boarding stage, like collect W9, upload driver's license, payroll, and all of those kinds of things. So now when we go back to our agent onboarding, we'll see our tasks here.

We can go back, and let's say they're starting next Monday. So now when we save that, that email is going to kick off on the 21st.  

This is just a different kind of workflow process and it's more internal, but it's a nice way that you can start to build some internal workflows at the brokerage or large team level.
